Hastings Fire & Security Limited provides fire protection and security services to homes and businesses, including fire alarms, CCTV, intruder alarms and access control systems. For most of the personal information described in this notice, Hastings Fire & Security Limited is the Data Controller.

What information we collect

Depending on your relationship with us, we may collect:

  • your name;
  • business or organisation name;
  • home, business or installation address;
  • email address and telephone number;
  • information provided when requesting a quote or contacting us;
  • details of services, installations, maintenance and repairs;
  • quotations, contracts, invoices and payment information;
  • correspondence with us; and
  • technical information needed to install or support fire and security systems.

Where we work with businesses, we may also receive information about staff or authorised users, for example names and access permissions needed to configure CCTV, alarm or access control systems.

We do not normally collect special category personal data.

How we collect your information

Most of the information we use is provided directly by you when you:

  • contact us by telephone, email or through our website;
  • request a quotation;
  • ask us to carry out an installation, repair or service;
  • enter into a maintenance agreement with us; or
  • communicate with our engineers or office staff.

Where we provide services to a business or organisation, they may also provide us with information about their staff or authorised users where this is necessary for us to carry out the work they have requested.

How we use your information

We use personal information to:

  • respond to enquiries and provide quotations;
  • arrange surveys and site visits;
  • carry out installations, servicing, repairs and maintenance;
  • configure and support customer systems;
  • administer maintenance contracts;
  • issue invoices and manage payments;
  • keep appropriate service and installation records;
  • deal with complaints, warranties or disputes; and
  • meet our legal, accounting and regulatory obligations.

Our legal basis will normally be one or more of the following:

Contract – Where we need your information to provide a service you have requested or to take steps before entering into a contract with you.

Legitimate interests – Where it is reasonably necessary for us to operate our business, respond to enquiries, manage customer relationships, provide services to business customers or keep our systems secure.

Legal obligation – Where we need to keep or use information to comply with the law, for example accounting and tax requirements.

CCTV & Customer security systems

Our engineers may sometimes need access to personal information held within customer security systems.

This could include:

  • viewing CCTV footage to diagnose an issue or assist a customer;
  • accessing systems remotely for maintenance or technical support;
  • creating or configuring CCTV or alarm users; or
  • configuring names and permissions within access control systems.

In these situations, our customer will normally remain the Data Controller and Hastings Fire & Security will act as a Data Processor, accessing the information only as needed to carry out the work requested by the customer.

We do not routinely take ownership of or independently use customers’ CCTV footage.

If we need to access or temporarily handle CCTV footage or other personal information while providing support, we will only use it for the work we have been asked to carry out and will take appropriate steps to keep it secure.

Customers remain responsible for ensuring their own use of CCTV, access control and other security systems complies with data protection law.

Marketing

We may occasionally contact customers or people who have expressed an interest in our services about similar Hastings Fire & Security products and services.

Where required, we will only send electronic marketing where:

  • you have given us your consent; or
  • you have bought, or genuinely discussed buying, a product or service from us and the PECR soft opt-in rules apply.

Where we rely on the soft opt-in, you will be given an opportunity to opt out of marketing when we collect your details and in every marketing message we send.

Different rules may apply when we contact limited companies and other corporate organisations, but we will always respect requests not to receive marketing.

You can opt out at any time by using the unsubscribe option in a message or contacting info@hastingsfs.com.

Opting out of marketing will not stop us contacting you where we need to do so to provide a service, administer a contract or arrange maintenance.

Website & Cookies

Our website uses cookies and similar technologies to operate securely and help us understand how it is being used.

We use Cloudflare Turnstile to protect our website forms from spam and automated activity. We also use Google Analytics to understand things such as which pages are visited, how people find our website and how visitors use it.

Some cookies and technologies are essential for the website to work securely and do not require your consent. Where consent is required for analytics or other non-essential technologies, we will ask for your permission before using them.

Sharing & Retention

Who we share information with

Where necessary, we may share information with organisations that help us provide our services, including:

  • Microsoft 365 and other IT providers;
  • website hosting and technology providers;
  • Google for website analytics;
  • Cloudflare for website security;
  • accounting and professional service providers;
  • fire and security system manufacturers and technology suppliers;
  • contractors or suppliers involved in providing services; and
  • regulators or law enforcement bodies where required by law.

We only share information where there is a legitimate reason to do so and expect our suppliers to keep it appropriately secure.

Information processed outside the UK

Some technology providers we use may process information outside the UK. Where this happens, we use appropriate safeguards designed to protect personal information in accordance with UK data protection law.

How long we keep information

We only keep personal information for as long as it is reasonably needed. As a general guide:

  • unsuccessful enquiries and quotations will normally be kept for up to two years;
  • customer, installation and maintenance records may be kept for up to six years after our relationship ends; and
  • financial records will be kept for the period required by tax and accounting law.

Information accessed within a customer’s CCTV or access control system will only be retained by us where necessary to provide the agreed service. We may retain information for longer where necessary for a legal claim, dispute, warranty or other legitimate reason.

Keeping your information secure

We use appropriate technical and organisational measures to protect the personal information we hold against loss, misuse and unauthorised access. Access to customer systems and information is restricted to people who need it to provide the relevant service.

Your rights

Depending on the circumstances, you may have the right to:

  • access the personal information we hold about you;
  • have inaccurate information corrected;
  • ask us to delete or restrict the use of your information;
  • object to certain uses of your information, including direct marketing;
  • receive certain information in a portable format; and
  • withdraw consent where we rely on it.

Some of these rights depend on the circumstances and are not absolute.
